Section 1
POS & Orders
Your main sales interface. Open it from the sidebar or go to /chiyabill/pos/.
Taking an order
  1. Select the customer name / table / token depending on your branch mode.
  2. Tap category buttons to filter items, then tap a menu item to add it to the cart.
  3. Adjust quantity with + / − on each cart row, or tap the item again to increment.
  4. Apply a discount amount in the Discount field below the cart if needed.
  5. Add a tip amount if the customer wishes.
  6. Toggle VAT Invoice if the customer needs a tax receipt (PAN must be set in Settings).
  7. Click Pay, choose a payment method (Cash / eSewa / Khalti / Card / Khata), and confirm.
TipUse the search bar at the top of the POS to find any item by name instantly — faster than scrolling through categories.
Order modes
Manual
Type the customer or order name freely. Good for takeaway counters and simple setups.
Table System
Orders are tied to a table slot. Multiple open orders can exist simultaneously.
Token Queue
Each order gets a token number. Good for fast-service counters and bakeries.
Voiding an item

On the Order Detail page, owners can void individual items from any open order. The total recalculates automatically and an audit entry is created.

Order statuses
  • Open — in progress, items can still be added or voided
  • Paid — closed with full payment collected
  • Credit (Khata) — closed but payment deferred to customer's balance
  • Cancelled — voided without payment
Rating an order

After an order is paid, the Order Detail page shows a 1–5 star rating input. Use this to record customer satisfaction. Ratings appear in Reports.

Section 2
Menu Management
Create and manage the categories and items shown on your POS.
Categories

Go to Menu → Categories to add, rename, or reorder menu sections. Each item belongs to exactly one category. Categories appear as filter tabs on the POS.

Adding / editing items
  1. Go to Menu → Items.
  2. Click Add Item and fill in name, category, price, and optionally an image.
  3. Set a Cost Price if you want COGS tracking in Reports.
  4. Set a Discount Price for a special or sale price shown on the POS.
  5. Toggle Available off to hide an item from the POS without deleting it.
  6. Toggle Featured to pin it to the top of the POS grid.
Cost priceEnter cost price for your most-sold items first. Reports will show gross margin % per item using these values.
Deleting an item

Click Delete on any item row and confirm the dialog. Items with existing order history are removed from the menu but their sales records are preserved.

Section 3
Kitchen Display System Starter+
A dedicated screen for the kitchen showing all open orders in real time.

Open KDS from the sidebar — it opens in a new tab so it can run on a separate device or wall-mounted monitor in the kitchen.

  • All open orders appear as cards showing item list and time elapsed.
  • Kitchen marks an order Ready by clicking the bump button.
  • The KDS auto-refreshes every 20 seconds — no manual reload needed.
  • Once bumped, the order leaves the KDS queue.
SetupOpen the KDS URL on a tablet or spare monitor in the kitchen. Works on any browser — no app required.
Section 4
Staff & Roles
Add your team members and control what each role can access.
Roles
Owner
Full access including settings, billing, reports, and deletion.
Manager
Manages menu, staff, stock, expenses, shifts, and reports.
Cashier
POS access, takes and closes orders. No reports or menu editing.
Waiter
Creates orders but cannot close or pay them. For table-service setups.
Adding a staff member
  1. Go to Staff in the sidebar.
  2. Click Add Staff, enter a username and temporary password.
  3. Select their role and branch assignment.
  4. Give the credentials to the person — they log in at /chiyabill/login/.
SecurityStaff accounts are scoped to your business only. They cannot see any other business's data.
Section 5
Customers
Build your customer list and track lifetime spend, visits, and credit balance.

Go to Customers in the sidebar to add and manage your regular customers. Attaching a customer to an order enables full history and khata tracking.

  • Search customers by name or phone on the POS to attach them to an order.
  • View each customer's full order history, total spend, and khata balance.
  • Customers with outstanding khata balances are highlighted in the list.
Section 6
Khata / Credit Ledger
Let trusted customers take orders on credit and pay later.
Recording a credit order
  1. Take the order on the POS as normal.
  2. When paying, select Khata (Credit) as the payment method.
  3. The order is marked Credit and the customer's balance increases.
Collecting payment
  1. Go to Khata and find the customer.
  2. Click Collect Payment and enter the amount (partial or full).
  3. Select payment method and confirm. Balance updates immediately.
ImportantAlways attach a customer to credit orders so their balance is tracked correctly. Unattached khata orders are harder to reconcile.
Section 7
Stock & Inventory Starter+
Track ingredients and supplies with adjustments, low-stock alerts, and wastage reports.
Adding a stock item
  1. Go to Stock → Add Item.
  2. Enter name, unit (kg, litres, pieces), current quantity, minimum threshold, and cost price.
  3. Save. The item now appears in your stock list.
Adjusting stock

Click Adjust on any stock item to add or deduct quantity. Choose a reason — Restock, Usage, Waste, or Manual Correction. Every adjustment is logged with a timestamp and the user who made it.

Low-stock alerts

When an item falls below its minimum threshold, a red badge appears in the sidebar. Check the Wastage Report to see which items are being wasted most with estimated monetary loss.

Section 8
Expense Tracking Starter+
Log all business costs so your profit calculation in Reports is accurate.

Go to Expenses in the sidebar. Categories: Rent, Salary, Ingredients, Electricity, Water, Internet, Maintenance, Marketing, and Other.

Adding an expense
  1. Click Add Expense.
  2. Enter title, amount, category, date, and optionally supplier and reference number.
  3. Select which branch the expense belongs to.
  4. Save. It appears in the expense list and is factored into profit calculations.
TipReports shows Revenue − Expenses = Net Profit. Enter expenses consistently for accurate numbers.
Section 9
Shifts & Cash Reconciliation Starter+
Open and close shifts to reconcile cash at the end of each day.
Opening a shift
  1. Go to Shifts and click Open Shift.
  2. Count your opening cash float and enter the amount.
  3. All orders during this period are tracked against this shift.
Closing a shift
  1. At end of day, go to Shifts and click Close Shift.
  2. Count the physical cash and enter the closing amount.
  3. ChiyaBill calculates: Opening Cash + Cash Collected = Expected. Any difference is flagged.
  4. The shift summary shows all orders, payment methods, and the discrepancy.
DiscrepancyIf closing cash is less than expected, check for refunds, voids, or missing cash payments. Every shortfall should be investigated before closing.
Section 10
Reports & Analytics Starter+
Track revenue, profit, top-selling items, and customer satisfaction over time.

Go to Reports and use the 7d / 30d / 90d filter pills to change the date range.

KPI cards
  • Revenue — total from paid and credit orders
  • Expenses — total logged expenses for the period
  • Net Profit — Revenue minus Expenses (turns red if negative)
  • Orders — total order count
  • Avg Order — average order value
COGS & Gross Margin

If you've set Cost Price on menu items, the COGS section shows total cost of goods sold, gross margin %, and a per-item breakdown — so you can identify your most and least profitable items.

VAT Register

If VAT is enabled in Settings, a VAT Register link appears in Reports showing all tax invoices in IRD format with PAN number, taxable amount, and total VAT collected.

Section 11
Branches Pro: 5 · Enterprise: ∞
Manage multiple locations from a single ChiyaBill account.

Free and Starter plans support 1 branch. Upgrade to Pro (up to 5) or Enterprise (unlimited) to add more locations.

Adding a branch
  1. Go to Branches and click Add Branch.
  2. Enter name, address, phone, and email for the location.
  3. Assign staff to this branch from the Staff page.
  4. Each branch can have its own POS mode, opening times, and payment QR codes.
Section 12
Settings
Business-level configuration. Accessible to owners only.
VAT / PAN
  • Enter your PAN number to enable tax invoices on the POS.
  • Toggle VAT Registered to enable the 13% VAT option on orders.
  • Set a custom VAT rate if yours differs from 13%.
  • Set the Invoice Prefix (e.g. INV, TAX) for your invoice numbers.
Receipt customisation

Set a receipt header (your tagline) and footer (e.g. "Thank you, come again!"). These print on every receipt.

Loyalty programme

Enable loyalty points to reward repeat customers. Set how many points are earned per rupee spent and the Rs. value of each point on redemption.

Table / token slots

If using Table or Token mode, manage your slot labels here. Add, rename, or toggle slots active/inactive without affecting existing orders.

Section 13
Billing & Plan
View your current plan, compare plans, and manage subscription invoices.
Requesting an upgrade
  1. Go to Billing & Plan in the sidebar.
  2. Find the plan you want in the comparison table.
  3. Click Request upgrade, choose monthly or yearly billing, and submit.
  4. Our team will contact you to confirm and process the upgrade.

Free
1 branch, 5 staff. POS, orders, basic khata. Forever free.
Starter
1 branch, 10 staff. Adds KDS, stock, expenses, shifts, and reports.
Pro
